Code of Conduct

Blue Mountain Foundation for the Arts (BMFA)

Introduction

The BMFA is dedicated to cultivating a supportive, inclusive, respectful environment and upholding the highest standards of ethical and professional behaviour for all its members.  This Code of Conduct outlines the behavioral expectations, guiding principles and responsibilities that all members of BMFA are expected to maintain. By joining BMFA, members agree to these standards and play a role in fostering a collaborative and supportive environment within the community. For definitions of “member” and “membership” please refer to section 8 of the BMFA Bylaws, which are available on the BMFA website – www.bmfa.on.ca/bmfa-by-law/

  1. Safety and Well-Being
    1. Prioritize the safety and well-being of all members.
    2. Comply with all relevant laws, regulations, and organizational policies.
    3. Report any unsafe conditions, incidents, or concerns to the Board at [email protected].
  2. Respectful and Inclusive Behaviour
    1. Treat all individuals with respect, dignity, and fairness, regardless of background.
    2. Foster a welcoming, inclusive, and safe environment free from discrimination, harassment, bullying, or intimidation whether through verbal, written, physical or electronic means. Such incidents will not be tolerated on BMFA property.   Members are responsible for reporting any incidents that they witness to the Board and cooperating with any ensuing investigation.
    3. Promote an environment that values and appreciates diverse perspectives, opinions, backgrounds and contributions of others.
    4. Use language that is appropriate and respectful in communication with fellow members, staff, volunteers, community partners and the general public.
  3. Professional Conduct
    1. Act in the best interests of BMFA at all times.
    2. Represent BMFA positively in all interactions, whether in person, online, or at events.
    3. Fulfill agreed-upon commitments and responsibilities in a timely and reliable manner.  Communicate promptly with relevant parties if unable to meet obligations.
    4. Preserve the reputation and integrity of BMFA by acting ethically and responsibility.
  4. Collaboration and Cooperation
    1. Encourage a spirit of collaboration and cooperation among members to foster an environment that supports personal growth and development.
    2. Support and uplift fellow members by sharing knowledge, resources and expertise to help advance the collective success of BMFA.
  5. Integrity and Accountability
    1. Be honest and transparent in all communications and actions.
    2. Do not engage in any illegal activities or actions that may bring disrepute to BMFA
    3. Report any conflicts of interest or perceived conflicts promptly to the Board.
    4. Comply with intellectual property rights and seek appropriate permissions when using or reproducing copyrighted materials.
    5. Cooperate fully with any investigations into reported incidents and provide accurate and truthful information.
    6. Use BMFA’s resources responsibly, including facilities, equipment as set out in the volunteer training manual or in accordance with a signed usage agreement.
    7. Report any damage, loss or misuse of BMFA property promptly to designated staff or a member of the Board of Directors at [email protected].
  6. Confidentiality
    1. Respect the privacy and confidentiality of fellow members, staff and volunteers and refrain from disclosing any sensitive or confidential information without proper authorization.
    2. Protect the confidentiality of sensitive information obtained through the BMFA.
    3. Handle personal and organizational information with care, ensuring that it is stored securely and used solely for legitimate purposes.
  7. Compliance and Consequences
    1. Adhere to this Code of Conduct at all times while representing the BMFA.
    2. Abide by all applicable laws, regulations and organizational policies
    3. Breaches of this Code may result in disciplinary action, including warnings, suspension and termination of membership.  If BMFA decides to proceed with action, the process outlined in section 8:03 of the Bylaws “Disciplinary Act or Termination of Membership for Cause” will be followed.  The BMFA reserves the right to decide if it will refund the current fiscal year membership fee.  The BMFA maintains discretion over re-admission to the organization for any member subject to such a decision.
  8. Review and Amendments
    1. This Code of Conduct will be reviewed annually and updated as needed to reflect the evolving needs of the organization and community.
    2. Feedback from members is welcomed and valued in this process.
  9. Reporting and Investigation
    1. If you witness or suspect non-compliance with the Code of Conduct, please report your concerns promptly to the Board at [email protected]. All reports will be addressed in accordance with the BMFA policies and by laws, ensuring confidentiality and fairness throughout the process.
    2. The Board is responsible for reviewing reported incidents and determining next steps. They will determine the scope of the investigation and whether discipline is required as stated in 7 (3) above.  The Board in its discretion may investigate concerns that occur under their purview, whether or not there has been a complaint.
    3. Investigations will be conducted with strictest confidentiality by 2 or more Board members who are appointed by the Chair. Members are expected to fully cooperate and provide verbal and/or written statements if required.  A report and recommendations will be forwarded to the Chair.
